Vendor Setup: Begins at 12:00 PM

Vendors may unload near the courtyard before moving vehicles to the designated parking area.

This is a rain or shine event.

Booth & Food Truck Spaces:
Space sizes may vary. Vendors are responsible for providing their own tents, tables, chairs, and any additional setup needs.

Food Vendors:
All food vendors must provide valid licensing and proof of insurance.

We will provide digital promotional materials to help you share and promote the event.

Vendor Agreement

This Vendor Agreement is entered into by and between Runyans Country Tree Farm ("Event Organizer") and the undersigned vendor ("Vendor") for participation in the Christmas in July event. Please read entirely and sign below.

  1. Attendance & Operations
    1. Vendor agrees to be present and fully operational for the entire duration of the Christmas in July event on the date specified. Vendor will operate only within the designated space assigned by the Event Organizers. Early departure or late arrival may result in exclusion from future events.
  2. Permits & Licenses
    1. Vendor is responsible for obtaining and maintaining all required local, county, and state permits or licenses necessary to operate at the Event, including but not limited to food handling, business, or sales tax permits. Copies of relevant documentation must be available for review upon request or submitted no later than June 17, 2026.
  3. Vendor Responsibilities
    1. Vendor shall:
      1. Provide all necessary merchandise, products, food, materials, equipment (tent, tables, etc.) and staff.
      2. Operate during the offical event hours and follow arrival and teardown schedules and or instructions provided by the Event Organizers. 
      3. Conduct all operations in accordance with local, state, and federal regulations, including health and safety requirements.
      4. Maintain a clean, organized, and professional booth or food truck, staffed by courteous and appropriately trained personnel.
      5. Stay within the bounds of their assigned space and not encroach upon walkways or neighboring vendors.
  4. Clean-Up & Damage
    1. Vendor is fully responsible for maintaining cleanliness of their space throughout the event and returning it to its original condition upon departure. Any trash or waste beyond what fits in proveded containers must be removed by the Vendor. Vendor is liable for any damage caused to the premises, including damaged caused by Vendor staff, equipment, or vehicles.
  5. Insurance & Liability
    1. Vendor assumes all responsibility for loss, damage, theft, or injury to their own property and personnel. Vendor is encouraged to carry appropriate insurance coverage for their operations, including general liability. Food vendors must ahve a valid liability insurance policy and may be required to name the Event as an additional insured.
  6. Weather & Cancellation
    1. This is a rain-or-shine event. In the case of sever or unsafe weather, Event Organizers reserve the right to cancel or modify the event schedule. Refunds or credits are not guaranteed in the event of cancellation due to weather or other circumstances beyond the control of the Event.
  7. Conduct & Removal
    1. The Event Organizers reserve the right to request that any Vendor leave the event grounds if they fail to comply with the terms of this agreement, act inappropriately, or disrupt the overall experience for attendees or other vendors.
  8. Media Release
    1. By participating in this event, Vendor grants permission for photos, video, and other media recordings of their staff, products, and setup to be used for promotional purposes by the Event Organizers.
  9. Idemnification
    1. Vendor agrees to idemnify and hold harmless the Event Organizers, property owners, volunteers, and associated staff from any and all claims, losses, or damages arising from their participation in the event.

Vendor understands and agrees that submission of this form acts as a binding electronic signature.
